Review and provisioning

After you submit your activation request, Xertone reviews it. Once it is approved, TeamsPIM sets up a dedicated back end for your tenant automatically and activates your Marketplace subscription.

Follow progress in the Customer Admin Portal

Sign in to the TeamsPIM Customer Admin Portal with the purchasing account. The landing page links to it after you submit (“You can review your request status on TeamsPIM Customer Admin Portal”). The portal’s sign-in page reads “Manage licenses, subscriptions and Azure access for TeamsPIM across your tenant.”

The Overview page shows a tracker banner for your request:

Banner Text What it means
Waiting for review “Your subscription is pending review by the publisher. We’ll start setting up your TeamsPIM environment as soon as it’s approved.” Xertone has your request and has not approved it yet.
Setting up your workspace… “We’re building your TeamsPIM environment. This can take a few minutes — you can keep using the portal while it finishes.” Approved. Your back end is being created.
Your workspace is ready! “Your TeamsPIM environment has been set up successfully.” Done. You can assign licences.
Setup failed “We couldn’t finish setting up your workspace. Please contact support for help.” Setup did not complete. See below.

You can keep working in the portal while setup runs. Setup itself takes a few minutes once the review is complete.

Each customer tenant gets its own TeamsPIM back end: the bot service that sends and processes approval cards in Teams, plus its own storage and logging. It is not shared with other customers. What it stores is described in Data handling.

Your privileged access data itself, such as roles, assignments and approvals, stays in your Microsoft Entra ID and Azure. TeamsPIM reads and acts on it there.

The purchaser receives one email when the process finishes, sent to the email address on the activation request:

Approved and set up. The Marketplace subscription is now active. “Your TeamsPIM subscription is active”
Approved, but setup failed “We hit a problem activating your TeamsPIM subscription”
Not approved “Your TeamsPIM subscription could not be activated”

If the Overview shows Setup failed, you also receive the “We hit a problem activating your TeamsPIM subscription” email, which says Xertone has been notified and will follow up. You do not need to buy again or submit a new request. If you want to follow up, contact Xertone support and include your tenant ID, which is shown on the landing page.
